Auction Manager Basic: Quick Start Guide

The Basics:

  • Get Organized:
    • Recruit volunteers to help with your auction:
      • Create different jobs based on the various tasks involved with the auction: item acquisition, promotion and publicity, data entry, building the auction site, etc
      • Each volunteer should have their own log in. Invite them to join your auction by going to Event > Team Members.


Next Steps:

  • Item Acquisition:
    • Create a list of people to contact for item donations: local businesses, board members, friends and family, etc.
    • Create a donor solicitation letter/email to send to everyone on that list.
    • Start reaching out:
      • If you have several volunteers, assign one to contact past donors.
      • Remember: the squeaky wheel gets the grease! Set tasks to follow up with companies who don’t respond within a week or two of your first attempt.
    • As you start receiving items, create them in Auction Manager.
  • Get the Word Out:
    • Create your auction homepage.
    • Plan to activate it at least a month in advance to generate excitement and interest.
    • Develop a publicity plan to promote the auction.
    • Create email templates and link to your Constant Contact account to send auction-related email blasts to your community.
    • Use social media sites such as Facebook, Twitter, and LinkedIn to get the word out.

  • Promote your Live Event:
    • Add information about your upcoming live event under Event > Live Event Dates.
    • On that page, you can include details such as the schedule of events, attire, and address (with a map).
    • This will automatically create a Live Event Info page for people to access from your main auction homepage.
  • Closing:
    • Develop a plan for distributing items to winners.
    • Create a thank you letter/email to send to donors after the auction closes.
